Responsibilities:
• Develop event objectives in collaboration with clients, understanding their goals and target audience.
• Plan, coordinate, and execute events from start to finish, including event design, technical proposal building, budgeting, logistics, vendor management, execution planning and on-site coordination.
• Conduct thorough research and sourcing of event concepts, venues, vendors, suppliers, and contractors to secure necessary resources within budget and quality parameters.
• Manage event budgets, including cost estimation, tracking, and financial reporting, ensuring effective cost management and adherence to client budgets.
• Coordinate with internal teams and external stakeholders to ensure all event elements (e.g., production, AV, catering, registration, transportation) are effectively planned and executed.
• Prepare detailed event timelines and action plan, production schedules, and run sheets, streamline sheets, ensuring all team members and vendors are aligned and well-informed.
• Oversee event registration processes, including attendee management, ticketing, and guest communication.
• Liaise with clients, vendors, and sponsors to manage expectations, address concerns, and ensure successful collaboration throughout the event lifecycle.
• Conduct site inspections and venue walkthroughs to assess feasibility, identify potential challenges, and ensure event spaces meet client and safety requirements.
• Coordinate and manage event logistics on-site, including setup, troubleshooting, and managing any unexpected situations that may arise.
• Evaluate event success and conduct post-event analysis, gathering feedback, analyzing metrics, and preparing post-event reports.
• Stay updated on industry trends, best practices, and emerging technologies to provide innovative event solutions and enhance client experiences.
Qualifications:
• Bachelor's degree in event management, hospitality, marketing, or a related field.
• Minimum 5 years of proven record in the GCC region.
• Strong organizational and project management skills, with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
• Excellent interpersonal and communication skills, with the ability to build relationships, negotiate contracts, and collaborate with diverse stakeholders.
• Budgeting and financial management proficiency, with the ability to create, monitor, and report on event budgets effectively.
• Strong attention to detail and problem-solving skills, with the ability to anticipate and mitigate potential challenges or risks.
• Knowledge of event technologies and tools, including event registration systems, event management software, and virtual/hybrid event platforms.
• Ability to work independently and as part of a team, demonstrating leadership, adaptability, and flexibility.
• Creative mindset with a passion for delivering exceptional event experiences and exceeding client expectations.
• Availability to work evenings, weekends, and travel as required for event planning and on-site management.
